AP Backstage – Privacy Policy

1. Introduction
This Privacy Policy explains how the AP Backstage app collects, uses, stores, and protects your personal information. AP Backstage is the companion app for the Attleborough Players theatre group, giving members and the public access to show information, cast and crew details, rehearsal schedules, performance dates, songs, and audition materials.
We are committed to protecting your privacy and handling your data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Please read this policy carefully to understand how we handle your information.
2. Who We Are
The AP Backstage app is operated by Skyro Media Ltd on behalf of Attleborough Players. For the purposes of UK data protection law, Attleborough Players is the data controller for the personal information processed through the app, and Skyro Media Ltd provides and maintains the app on their behalf.

3. Information We Collect
We only collect information that is needed to run the app and support the activities of the theatre group.
Account information
- Your email address and a password, used to sign in. Passwords are stored only in a securely hashed form – we never store or have access to your plain-text password.
- Your name, used to identify you within the group.
Member profile information
When you are a registered member, your profile may include:
- Name
- Email address
- Phone number (optional)
- A short biography (optional)
- A profile photo (optional)
- A “junior” indicator showing whether you are an under-18 member, used to make sure juniors are only included in appropriate rehearsals and activities
Participation information
To organise productions, the app records show- and rehearsal-related details such as:
- Your casting or role assignments and any related notes from the production team
- Rehearsal attendance and availability
- Recorded absences, including an optional note about the reason
Content you choose to upload
- Photos you choose to add (for example, a profile photo). Uploading a photo is optional.
Technical and diagnostic information
- Limited app diagnostic and crash-report data, used to detect and fix problems. These reports may include account identifiers such as your user ID, name, and email so that we can investigate an issue affecting your account.
- Sign-in session tokens and per-show access tokens, which are stored securely on your own device to keep you signed in and to remember show access.
Information we do not collect
The app does not collect your location, advertising identifiers, contacts, calendar, payment information, health data, date of birth, or any audio or video recordings of you.
4. How We Use Your Information
We use your information to:
- Create and manage your account and keep you signed in
- Show you the right information for your membership level (public, member, or admin)
- Organise productions, casting, rehearsals, and attendance
- Let members contact and identify one another within the group
- Protect access to sensitive show content using passcodes
- Diagnose and fix technical problems and improve the app
We do not use your information for advertising, and we do not sell your personal information to anyone.
5. Data Sharing
We keep data sharing to the minimum needed to run the app:
- Within the group. Member profile details (such as name, photo, and contact information) and participation details (such as casting and rehearsal involvement) are visible to other members and administrators of the group through the app, so that productions can be organised.
- Appwrite (our backend). Your data is stored on a secure backend service powered by Appwrite, which is hosted and managed on our behalf by Skyro Media Ltd.
- Sentry (error reporting). We use Sentry to capture crash and error reports so we can fix problems. As noted above, these reports may include account identifiers. Sentry may process this data outside the UK.
- Expo (app delivery). The app uses Expo to deliver app updates. This involves only standard, app-level technical information and does not include your profile data.
We may also disclose information where we are required to do so by law, or where necessary to protect the safety of an individual.
We do not sell your personal information to third parties.
6. Your Rights and Choices
Under UK data protection law, you have the right to:
- Access the personal information we hold about you
- Ask us to correct inaccurate or incomplete information
- Ask us to delete your information
- Object to or restrict how we use your information
- Request a copy of your information in a portable format

You also have the right to lodge a complaint with the UK’s data protection regulator, the Information Commissioner’s Office (ICO), at ico.org.uk.
7. Data Security
We take the security of your information seriously:
- Data is encrypted in transit and encrypted at rest on our backend.
- Access to member and show information is controlled by membership level, with administrative actions restricted to authorised administrators.
- Sensitive show content can be protected by passcodes.
- Sign-in and show-access tokens are stored in your device’s secure storage.
- Passwords are stored only as secure hashes.
No system can be guaranteed to be completely secure, but we work to protect your information using appropriate technical and organisational measures.
8. Data Retention
We keep your personal information for as long as you are a member of the group and your account is active. If you leave the group, or if you ask us to delete your information, we will remove your personal data, except where we are required to keep certain information to meet legal obligations. Diagnostic and crash-report data is retained only for as long as it is useful for fixing problems.
9. Children’s Privacy
AP Backstage is not a public sign-up app – accounts are created and managed by Attleborough Players administrators, not by children themselves. Some registered members are under 18, and their accounts are set up by the group as part of their involvement in our productions.
For junior (under-18) members, we keep the information we hold to the minimum needed to involve them safely in rehearsals and productions, and we use the junior indicator to make sure they are only included in age-appropriate activities. We encourage parents and guardians to talk with their child about the information held in the app, and parents or guardians can contact us at any time to review, correct, or request deletion of their child’s information.
10. Changes to This Policy
We may update this Privacy Policy from time to time. When we make significant changes, we will update the “Last updated” date at the top of this policy and, where appropriate, let members know within the app. We encourage you to review this policy periodically.
